Canned responses are pre-written replies you trigger with a slash-shortcut. Type / in the reply box, pick the response, edit, send. Useful for greetings, refund policies, common how-tos, anything you'd otherwise type from scratch every time. Each canned response is reusable across all channels and visible to your whole team.

Canned responses are pre-written message templates your team can insert into any conversation with a simple shortcode. They help your support agents reply faster, maintain a consistent brand voice, and reduce repetitive typing. Especially for frequently asked questions, greetings, and closing messages.

Creating canned responses

  1. Navigate to Settings > Canned Responses.
  2. Click Add canned response.
  3. Enter a memorable short code. For example, /greeting, /refund-policy, or /closing. Use lowercase letters and hyphens to keep codes easy to recall.
  4. Type or paste the full message content you want agents to send.
  5. Save the response. It will immediately be available to your team across all conversation channels.

Using canned responses

  1. Open any conversation and click into the reply box.
  2. Type / followed by the short code (e.g., /greeting).
  3. A dropdown will appear showing all matching responses. Select the one you need.
  4. The full message content is inserted into the reply box. Review and personalize it before sending.

Best-practice tips

  • Use descriptive short codes. Codes like /shipping-delay are far easier to remember than /sd1. A clear naming convention helps new team members get up to speed quickly.
  • Keep messages concise. Aim for a friendly, complete answer in a few sentences. Customers appreciate clarity over lengthy paragraphs.
  • Personalize before sending. Always review the inserted text and adjust details. Such as the customer's name or order number. So replies feel personal rather than robotic.
  • Audit regularly. Set a recurring reminder (monthly or quarterly) to review your canned responses. Remove outdated ones, update policy changes, and add new templates for emerging questions.
  • Organize by category. Prefix related codes with a common keyword (e.g., /order-status, /order-cancel) so agents can quickly filter relevant options from the dropdown.

Troubleshooting

  • Dropdown not appearing? Make sure you are typing the / character at the start of a word inside the reply box. If the dropdown still doesn't show, try refreshing the page.
  • Short code conflict: Each short code must be unique. If a new response won't save, check whether the code is already in use and choose a different one.
  • Formatting issues: If your pasted content loses its formatting, try editing the response directly within the canned-response editor to ensure it displays correctly.

Using variables

Add placeholders that are filled in when the response is inserted: {{agent.name}}, {{agent.first_name}}, {{agent.last_name}}, {{agent.email}}, {{contact.name}}, {{contact.first_name}}, {{contact.last_name}}, {{contact.email}}, {{contact.phone}}, {{contact.company}}, {{conversation.id}}, {{inbox.name}} and {{account.name}}. The agent is whoever inserts the response. For values that can be empty, add a fallback after a pipe: "Hi {{contact.first_name | there}}" becomes "Hi there" when the contact has no name. Unknown variables stay in the text unchanged. See Template variables in canned responses for the full list with examples.

Frequently asked questions

Is there a limit to how many canned responses I can create?
There is no strict limit. However, keeping your library well-organized and free of duplicates will help agents find the right response faster.
Can I edit or delete an existing canned response?
Yes. Go to Settings > Canned Responses, locate the response you want to change, and use the edit or delete option next to it. Changes take effect immediately.
Do canned responses work across all channels?
Yes. Canned responses are available in the reply box regardless of the conversation channel, so your team can use them for live chat, email, and other supported inboxes.
How do I create one?
Settings → Canned Responses → Add canned response. Give it a short code (e.g. /refund-policy) and the message body. Saved responses are available instantly to every agent on the account.
Can I use placeholders?
Yes. {{contact.first_name}}, {{contact.email}}, {{agent.name}}, {{conversation.id}} and more (see Using variables above). They are filled in when the response is inserted. Always review the inserted text before sending: placeholders that resolve to empty strings can look odd, so add a fallback such as {{contact.first_name | there}}.
Can I have channel-specific canned responses?
Not at the canned-response level: every response is available in every conversation. Workaround: use naming prefixes like /email-* and /chat-* to make finding the right one easier.
How fast does the shortcut picker open?
Instantly, the list is filtered in the browser. Typing more characters filters the list by short code. Press Enter or Tab to insert the highlighted response, or click the one you want.
Can I attach files to a canned response?
Not yet. Canned responses are text-only. For file-heavy replies, save the file in a public URL (e.g. your help center) and link to it in the canned response body.
Do canned responses count as personalization?
Only as much as you make them. The trick is keeping templates short and editable so agents always tweak the inserted text. A canned greeting with the customer's actual name and an actual answer is fine; copy-pasted boilerplate isn't.
Can I share canned responses across teams?
All canned responses are account-wide by default: every agent sees them. Per-team scoping isn't supported yet; if you need it, prefix codes by team (e.g. /billing-* and /support-*).
Is there a length limit?
Practical limit is whatever the channel allows. Email is effectively unlimited; WhatsApp templates have a 1024-character limit per body section; SMS is 160 chars per segment. Keep canned responses lean to avoid hitting per-channel caps.
Can I see when a canned response was last edited?
Not in the dashboard. The list shows only the short code and the content. The API returns createdAt and updatedAt for each response, but who created or edited it is not recorded, and changes to canned responses do not appear in the audit logs.
How is this different from macros?
Canned responses just insert text. Macros run multiple actions: send a message + change status + add label + assign, all in one click. Use canned responses for plain replies; use macros when the reply comes with workflow steps.
Will agents accidentally trigger a canned response?
The slash picker only opens after you type / at the start of a word. Typing a forward-slash mid-word (e.g. yes/no) doesn't trigger it.
