Using macros for repetitive tasks

Macros bundle multiple actions into one click. Assign to billing + add 'refund' label + change status to Pending, all in one go. Useful for repeated workflows. Different from canned responses (text only) and automation rules (run automatically on events). Macros are agent-triggered: the agent runs the macro with the Macro button in the reply toolbar.

Macros let you execute a sequence of actions on a conversation with a single click. Instead of manually assigning, labeling, and updating conversations one at a time, you can bundle those repetitive steps into a reusable macro and run it instantly. This is especially helpful for support teams handling high volumes of similar requests across channels.

Creating a macro

  1. Navigate to Settings > Macros.
  2. Click Add a new macro.
  3. Give your macro a descriptive name. For example, Escalate to Billing or Close & Tag Resolved. Under Visibility, choose Personal (only you) or Global (all agents).
  4. Add actions in the order you want them to run. Available actions include:
    • Assign the conversation to a specific agent or team
    • Add or remove labels
    • Change the conversation status (open, pending, resolved or snoozed) or its priority
    • Send a message to the customer
    • Mute the conversation
  5. Review the action sequence and click Create Macro.

Running a macro

  1. Open any conversation from your inbox.
  2. Click the Macro button (Run Macro) in the reply toolbar. It appears once macros exist.
  3. Select the macro you want to execute from the list.
  4. All actions in the macro will run in sequence automatically.

Best-practice tips

  • Use clear, consistent names. Prefix macros with a category. For example, Billing: Escalate or Shipping: Request Tracking. So agents can find the right one quickly.
  • Keep macros focused. A macro that does two or three things well is easier to maintain than one that tries to handle every edge case.
  • Review macros regularly. As your workflows evolve, audit your macro list and remove or update any that are no longer relevant. This prevents agents from accidentally running outdated actions.
  • Combine with labels for reporting. Adding a label through a macro makes it easy to track how often a specific workflow is triggered.

Common pitfalls

  • Action order matters. Macros execute actions sequentially. For example, if you change the status to resolved before assigning the conversation, the assignment still happens but may cause confusion. Arrange steps logically.
  • Duplicate macros. If multiple macros perform similar tasks, agents may run the wrong one. Consolidate overlapping macros when possible.
  • Permissions and visibility. Running a macro needs the Manage conversations permission, which the standard agent role includes. If a macro isn't appearing for a team member, check whether it is Personal (only its creator sees it) or Global.

Frequently asked questions

Can I edit a macro after creating it?
Yes. Go to Settings > Macros, select the macro you want to modify, update the actions or name, and save your changes.
Is there a limit to how many actions a macro can contain?
A macro can hold up to 50 actions, but keeping macros concise (typically three to five actions) ensures they remain easy to understand and maintain.
What's the difference between a macro and an automation rule?
Macro: agent clicks to run. Rule: fires automatically on an event. Use macros when the decision should be the agent's; use rules when the action should always fire on a condition. Often you have both: a 'refund' macro and a related automation rule.
How is a macro different from a canned response?
Canned response inserts text in the reply box. Macro runs multiple actions (assign, label, status). They can pair: a 'refund' macro that adds the label + changes assignee + paired with a 'refund-reply' canned response.
What actions can a macro contain?
Assign Agent, Assign Team, Add Label, Remove Label, Change Status (Open / Pending / Resolved / Snoozed), Change Priority, Send Message and Mute Conversation. Send Message posts a reply to the customer.
Can the order of actions matter?
Yes. Macros execute top to bottom. If you change status to Resolved before assigning, the assignment still happens but the assignee gets a 'resolved' conversation, which is confusing. Order logically: assign first, then label, then status change.
Can I undo a macro after running it?
No single-click undo. To revert, manually flip each action: change status back, remove the label, reassign. Test macros on a sample conversation first to make sure they do what you want.
Can I limit who can run a macro?
Partly. A Personal macro is visible only to the person who created it; a Global macro is available to all agents. Running a macro needs the Manage conversations permission. The standard agent role has it; on Enterprise you can leave it out of a custom role under Settings → Custom Roles.
How many macros should I create?
Fewer is better. 5-15 covers most teams. More than that and agents start hunting for the right one and ignore the list. Audit quarterly; archive unused ones.
What if I want to fire a macro and a reply together?
Workflow: insert canned response into the reply box, click macro to run actions, send the reply. Three clicks total. Or: send the reply first, then fire the macro to assign + label + close. A macro can also send the reply itself with a Send Message action.
Can macros work on the bot side?
No, the bot doesn't run macros. Fynn has its own actions (for example cancel orders or issue refunds), which you allow under Settings → Bots; they are off by default. When the bot can't help, it hands the conversation to your team.
Can a macro send an internal notification?
No. A macro's Send Message action writes to the customer. To alert a teammate, @mention them in a private note.
Will running a macro show in the audit log?
No. Running a macro is not written to the audit logs.
