Smart segments are saved groups of contacts defined by filter rules, plus optional manually-added contacts. The rules re-evaluate dynamically against the live contact data, so a segment named 'Inactive 30+ days' always reflects who's actually inactive right now. Useful for targeted campaigns and customer-tier views.

Introduction

Smart segments in Deskwoot are saved contact groups defined by filter conditions (last activity, email, phone, company, conversation count, creation date), automatically refreshing as new contacts match the criteria, so you target the right audience for outreach without manual tagging. Instead of manually tagging or sorting contacts, you define a set of filter conditions and Deskwoot automatically groups matching contacts together. This makes it easy to target the right audience for follow-ups, monitor key customer groups, and keep your contact list organized as your business grows.

Creating a Segment

Follow these steps to create a new smart segment:

  1. Navigate to Contacts in the main sidebar.
  2. Find the Segments list next to the contact list (above it on small screens).
  3. Click New Segment below the list (+ New on small screens).
  4. Define one or more filter conditions. Each condition picks a contact field (Last Activity, Email, Phone, Company, Conversation Count or Created At) and a condition (for example Equals, Contains, Is present or Within last ... days). A contact has to match every condition.
  5. Give your segment a descriptive name (the description is optional) and click Create Segment.
  6. Click the new segment in the list to see the contacts that match and check that it looks right.

You can combine multiple filter conditions to create highly targeted groups. For example, you might create a segment of contacts whose company contains "Acme" and who were created within the last 30 days.

Saving your own segments needs the Business plan or higher. The built in segments (All Contacts, Active (7 days), Active (30 days), Missing Email, Missing Phone, VIP (5+ conversations) and New (last 7 days)) are always in the list.

Dynamic Segments

Segments are dynamic by default. This means contacts are automatically added to or removed from a segment as their data changes and they meet,or no longer meet, the defined criteria. You never need to manually update membership; Deskwoot works out the members from the current data every time you open the segment.

Best-Practice Tips

  • Use clear naming conventions. Name segments descriptively (e.g., "VIP Customers. US" or "New Leads. Last 7 Days") so your team can quickly identify them.
  • Start simple. Begin with one or two filter conditions and refine from there. Overly complex segments can be harder to maintain and troubleshoot.
  • Keep contact data clean. Segments rely on accurate contact attributes. Regularly review and update your contact information to ensure segments stay meaningful.
  • Review segments periodically. As your business needs evolve, revisit your segments to ensure the criteria are still relevant.

Common Pitfalls

  • Empty segments: If your segment returns zero contacts, double-check your filter conditions. A small typo or overly restrictive combination of rules is usually the cause.
  • Overlapping segments: Multiple segments with similar conditions can cause confusion. Audit your existing segments before creating new ones to avoid unnecessary duplication.
  • Missing attributes: If a contact's attribute field is empty, it won't match conditions that expect a value. Make sure the relevant fields are populated for the contacts you want to capture.

Frequently asked questions

Can I edit a segment after creating it?
Yes. Hover the segment in the Segments list, click the pencil icon (Edit segment), adjust the filter conditions or rename it, and click Save Changes. The membership list will update automatically based on the new criteria.
What fields can I filter by?
Six contact fields: Last Activity, Email, Phone, Company, Conversation Count and Created At. Depending on the field the conditions are Is present, Is missing, Contains, Equals, At least, At most, Exactly, Within last ... days, Has activity and No activity. A contact has to match every condition of the segment.
Are segments static or dynamic?
Both. The filter rules evaluate dynamically against current contact data, so a 'last activity > 30 days ago' segment shifts as time passes. You can also add specific contacts by hand (select them in the contact list and use Add to Segment); those stay in the segment regardless of the filter.
Can I use a segment to send a campaign?
Yes. When creating a campaign, pick the segment as the audience. Saves you from re-defining the filter every time and ensures the campaign always targets the current segment.
What if my segment is empty?
Either no contacts match the rules (refine the filter), or your rules contain a self-contradicting combination. Open the segment after saving to see the matched contacts; if the list is empty, the filter is too narrow. A campaign refuses an empty segment.
Can I use custom attributes in segment conditions?
No. Segment filters use a fixed list of contact fields (Last Activity, Email, Phone, Company, Conversation Count, Created At). Custom attributes cannot be used as a segment condition.
Can I exclude contacts from a segment?
Use the Is missing condition on a field to keep only contacts without it (for example Missing Email), or No activity for contacts without any activity. There is no 'not equals' condition and no rule like 'in segment A but not in segment B'.
Can the AI bot use segments?
No. Segments are a customer-tier view; the bot doesn't query segment membership when deciding how to reply.
How many segments can I have?
No hard limit. Practical limit is 20 to 30 active segments before it gets hard to remember what each does. Audit yearly and delete the ones you no longer use.
Can I see how many contacts are in a segment?
Click the segment to list its contacts. The list shows 25 contacts per page; when it runs over more than one page, the total appears below it. The members are worked out from the filter rules and the manual members each time you open it.
Do segments respect inbox permissions?
Contact-level data isn't inbox-scoped, so segments work across all your contacts regardless of which inbox they came through. Useful for cross-channel customer views.
Can I export a segment as CSV?
No. Deskwoot has no contact export, so a segment cannot be exported as a CSV file. You can use a segment directly as the audience of a campaign.
