Contact notes are internal annotations on a customer that persist across every conversation. Use them for shipping preferences, known issues, VIP status, anything you want every teammate to see before they reply. Notes live on the contact, not on a single conversation, so they survive across channels and time. Customers can't see them.

Overview

Contact notes in Deskwoot are short text records you attach to a customer profile, so any agent on the team sees the customer's preferences, known issues, or past context before they start typing a reply, no matter which channel the customer wrote in on. Whether it's a special shipping preference, a known technical issue, or context from a previous interaction, notes ensure that every agent on your team has the background they need to deliver fast, personalized support. Notes are attached to the contact record itself, so they remain visible regardless of which conversation you're viewing.

Adding a Note

  1. Open a contact's profile from the Contacts list, or from a conversation with the icon next to the contact's name.
  2. Open the Notes tab of the profile.
  3. Type your note in the Add a note... field. Be concise but include enough detail so other team members can understand the context without asking the customer to repeat themselves.
  4. Click Save note. It will now appear in the contact's profile for all agents to see.

Viewing Contact History

In addition to notes, each contact profile has a Chat History tab with the contact's 20 most recent conversations across all channels: live chat, email, WhatsApp and the others. So agents can quickly review previous issues, resolutions, and communication preferences before replying.

  • Conversations list: Browse all open, resolved, and pending conversations linked to the contact.
  • Notes timeline: See every note added by your team, newest first, with its date. In a conversation's Notes tab, contact notes also show who wrote them.

Best-Practice Tips

  • Be specific: Instead of writing "Customer was upset," note the reason. For example, "Customer experienced a delayed shipment on order #1234; offered 10% discount."
  • Keep notes up to date: Remove or update outdated information so agents aren't acting on stale context.
  • Use notes for internal context only: Notes are visible to your team, not to the customer. Use them freely for internal coordination.
  • Standardize formatting: Agree on a simple format across your team (e.g., date + topic + detail) so notes are easy to scan at a glance.

Common Pitfalls

  • Duplicate contacts: If a customer has more than one contact record, notes may be split between profiles. Merge duplicate contacts when possible to keep all history in one place.
  • Overly vague notes: A note that says "Follow up" without context is unhelpful a week later. Always include the what and why.

Frequently asked questions

Do notes carry over when a new conversation is started?
Yes. Because notes are tied to the contact. Not to an individual conversation. They remain accessible in every future interaction with that customer.
Where do I add a note?
Open the contact's profile, go to the Notes tab, type in Add a note... and click Save note. The note appears immediately for every agent viewing that contact. Adding notes needs Manage contacts (create, edit) in your role, which the standard Agent role has.
Are contact notes visible to the customer?
No. Notes are internal and only visible to agents and admins. Treat them as the team's shared shorthand about that customer.
How are contact notes different from private notes on a conversation?
Conversation private notes live on one conversation only, useful for ticket-specific context. Contact notes live on the contact and show up in the Notes tab of every conversation with them, marked Contact note. Use contact notes for durable info, conversation notes for one-off context.
Can multiple agents add notes to the same contact?
Yes. Notes are listed newest first, so you can see how context built up over time. In a conversation's Notes tab each contact note shows its author and date.
Is there a limit?
No practical limit. If a contact has hundreds of notes, that's usually a signal to consolidate or clean up.
Can I edit or delete a note after creating it?
Notes can't be edited. To change one, delete it and add a new note. You delete a contact note in a conversation's Notes tab: hover the note and click the trash icon. Deleting needs Manage contacts (create, edit) in your role.
Will notes survive merging two contact records?
Yes. Merging moves the other contact's notes to the contact you keep, together with its conversations.
Can I @ mention a teammate in a note?
Not in contact notes. @ mentions work in private notes on a conversation. Contact notes are plain text.
Are notes searchable?
No. There is no search inside notes, neither on one contact nor across all contacts. The contact search finds contacts by name, email or phone.
Should I use notes or custom attributes?
Notes are unstructured prose ('Customer prefers FedEx'). Custom attributes are structured fields ('shipping_pref = FedEx'). Use attributes when automation rules should check the value (custom attributes need the Business plan or higher); notes when it's freeform context.
Do notes carry over via the API?
Yes. Reading a contact over the API includes its notes, and the contact's notes endpoint lists them with their author. Useful when syncing to a CRM that also wants the agent-only context. API tokens need the Enterprise plan.
