Connect your Follow Up Boss account, and every new conversation from your website chat, WhatsApp, SMS and your other inboxes goes to Follow Up Boss as a lead. Your lead flow, action plans and agent alerts run as usual, and your team sees each lead's stage and agent next to the conversation. Fynn can pass on what a buyer, seller or renter asks for, after they confirm the details. Follow Up Boss is in beta. Your team uses it on every plan, the Free plan too, and what Fynn does with it comes with every paid plan, the 7 day trial included.

You need the login of the Follow Up Boss account owner or an admin, and the permission to manage integrations in Deskwoot; administrators have it. Each workspace connects one Follow Up Boss account.

Connect Follow Up Boss

  1. Go to Settings > Integrations and click the Follow Up Boss card under CRM and real estate.
  2. Click Connect Follow Up Boss. Follow Up Boss opens and always asks you to sign in, so you can choose the right login.
  3. Sign in as the account owner or an admin, and allow Deskwoot.

You come back to the Follow Up Boss page in Deskwoot. An agent or lender login sees only its own leads, so Deskwoot cannot use it: you then read This login is an agent or lender. Connect with the account owner or an admin. Deskwoot never sees your Follow Up Boss password.

Choose which conversations become leads

The New leads card decides what goes to Follow Up Boss by itself:

  • Send new conversations to Follow Up Boss, on by default: Deskwoot sends a new conversation 3 minutes after the customer's first message, so the lead holds more of what they wrote. It needs their email address or phone number; without one within 24 hours, nothing is sent. Spam, blocked contacts, group chats and automatic replies are skipped.
  • Inboxes that send new leads: without a choice, every inbox except email inboxes, also inboxes you add later. Email inboxes are left out because they also get newsletters and vendor mail. Choose inboxes here to send only from those.
  • Lead source name, Deskwoot by default: how these leads show up in Follow Up Boss under Admin, Lead Flow.
  • Tag, Deskwoot by default: added to every person Deskwoot sends. Leave it empty for no tag.

The switch and the inboxes save at once. Click Save after you change the source name or the tag.

Choose notes and tasks

The Notes and tasks card decides what Deskwoot adds to a lead by itself. Both only work when the contact is linked to a person in Follow Up Boss or their lead was sent.

  • Add the conversation as a note when it is resolved, on by default: only the messages the customer saw, never internal notes.
  • Create a task when Fynn hands a conversation to your team, off by default: the task goes to the lead's agent in Follow Up Boss, or to the login Deskwoot uses when the lead has no agent.

Choose what Fynn does

Fynn uses Follow Up Boss only after an administrator clicked Save on What Fynn does with Follow Up Boss once. After that, the switch saves at once:

  • Fynn passes buying, selling, renting and showing requests to Follow Up Boss, on by default.

Under Inboxes you choose whether Fynn uses Follow Up Boss in all inboxes or only in some. This is separate from Inboxes that send new leads: new conversations still go to Follow Up Boss as the New leads card says, also where Fynn does not answer.

What Fynn does in the chat

  • When someone wants to buy, sell, rent or see a home, or asks your team to get in touch, he asks in one message only for what is missing: the home (address, listing link or MLS number) or what they look for (area, price range, bedrooms), their timing, good times for a showing, and a phone number or email if the conversation has neither.
  • He repeats what he noted and asks "Is that right?". Only after their yes does he pass it on. The customer then reads that your team has their request and someone will get back to them.
  • When the new conversation's lead has not gone out yet, his request takes its place, so Follow Up Boss gets one lead with what the customer looks for, not 2.
  • He never names an agent, a date or a time, and never says a showing is booked or confirmed. He never confirms a price or whether a home is still available.
  • He never reads anything from Follow Up Boss. He cannot tell a customer who their agent is or what is noted about them, so he hands such questions to your team.
  • In a workspace set up for real estate, his rules keep him from describing, ranking or recommending areas or properties by race, color, religion, sex, disability, familial status or national origin, and from steering anyone toward or away from an area for such reasons.
  • In group chats he passes nothing on. To customers he never names Follow Up Boss. He speaks of your team.

What reaches Follow Up Boss

Each lead goes in through Follow Up Boss's own way in for new leads, so your lead flow assigns the agent and your action plans start, as for a lead from a portal. It is a Property Inquiry when it names a home, a Seller Inquiry for someone who wants to sell, and a General Inquiry otherwise. It carries the customer's name, email address and phone number, their request in their own words, the home or what they look for, the channel, whether the channel confirmed who wrote, your lead source and tag, and a link to the conversation that only your team can open.

Follow Up Boss finds the person by email address and phone number, so someone who is already there gets no second record. Once the lead is in, Deskwoot links that person to the contact. A person Follow Up Boss found by email or phone shows as not verified, and your team can keep the link or choose another person.

What your team sees

In a conversation, the Details tab has a Follow Up Boss section with the linked person's stage, agent (Not assigned yet when there is none), lender, source, tags, last activity and price. From there your team opens the person with Open in Follow Up Boss, uses Send to Follow Up Boss, Add a note and Add a task, and finds, links or unlinks the person. Send to Follow Up Boss works for a contact without a name too. Search finds people by name, email or phone, also in the trash. The contact page has a Connected systems tab with the same section and everything Deskwoot sent for the contact.

Each lead shows as a card in the conversation's thread. While the new conversation's lead waits for its 3 minutes, the card offers Send now and Don't send. When Follow Up Boss did not answer in time, Deskwoot first looks for the lead there and never simply sends it twice; if it cannot tell, your team chooses Send again or It arrived. A lead whose source is archived in Follow Up Boss is ignored there: unarchive the source under Admin, Lead Flow, Archived, then click Send again.

When the connection needs you

  • Needs a new sign in: Follow Up Boss ended Deskwoot's access, for example because someone removed it there or it went unused for 90 days. Click Reconnect. Until then new leads, notes and tasks wait; those that wait longer than 14 days are not sent.
  • Admin rights missing: the connected login is no longer an owner or admin in Follow Up Boss. Reconnect with the owner's or an admin's login.
  • Account locked: Follow Up Boss shows no data for the account, for example because the subscription ended. Deskwoot keeps trying to send new leads.

Administrators get an email when the connection breaks.

Disconnect

Disconnect on the Follow Up Boss page stops new conversations going to Follow Up Boss, and the Follow Up Boss sections leave conversations and contacts. Leads, notes and tasks that still wait are not sent. Deskwoot deletes its access and the links between your contacts and people in Follow Up Boss, and asks Follow Up Boss to end its access. Everything already in Follow Up Boss stays there.

Frequently asked questions

Which plan do I need?

Every plan. Your team uses Follow Up Boss on every plan, the Free plan too, and what Fynn does with it comes with every paid plan, starting with Startup, the 7 day trial included. Deskwoot charges nothing extra for the connection.

What does beta mean here?

The connection to Follow Up Boss is new, so details can still change. If something does not work the way you expect, write to hello@deskwoot.com.

Does Deskwoot keep a copy of my leads?

No. Deskwoot reads a person's details while your team looks at them and keeps only which person in Follow Up Boss belongs to which contact, plus a short record of what it sent.

Does Fynn book showings in Follow Up Boss?

No. He passes on the showing request with the times the customer named, and your agent agrees the time.

Can I connect with an agent login?

No. An agent or lender login sees only its own leads, so Deskwoot could not find most people. Connect with the account owner or an admin.

Why do email inboxes not send new leads by default?

Email inboxes also get newsletters and mail from vendors, which would become leads. Choose them under Inboxes that send new leads if they only get customer mail.
