Connect Stripe to Deskwoot and your agents see the customer's payment history right alongside their conversations. Subscriptions, payments, refunds, invoices and the customer balance appear in the Details tab of any conversation where the contact's email matches a Stripe customer. Agents can refund a payment or cancel a subscription from there. If you allow it, Fynn (the AI agent, Startup and up) can do the same for a verified customer; each bot action is off until you switch it on.

The Stripe integration in Deskwoot pulls each customer's payment history, active subscriptions, and billing details into the conversation sidebar, so agents see the financial context without switching tabs or asking the customer to read out their card details. Instead of switching between tabs or asking customers to verify payment details, agents can view payment history, active subscriptions, and billing information alongside every conversation. This leads to faster resolutions and a smoother customer experience.

Connecting Stripe

  1. Navigate to Settings > Integrations and open Stripe.
  2. Click Install on Stripe Marketplace. You land on the Deskwoot listing on Stripe.
  3. Click Install and confirm the permissions Deskwoot needs: customers (read), subscriptions (read and write), charges and refunds (read and write), products (read) and invoices (read).
  4. Right after the install Stripe shows a restricted API key (it starts with rk_live_, or rk_test_ in test mode). Copy it, paste it into the Restricted API key field in Deskwoot and click Connect.

Deskwoot then imports your Stripe customers as contacts, and again once a day. The write permissions are used only when an agent (or Fynn, if you allow it) refunds a payment or cancels a subscription. Deskwoot does not create charges.

Payment History

Once connected, the Details tab of a conversation shows the customer's recent payments (up to 10), including:

  • Description, amount and currency
  • Date of the payment
  • Status. Succeeded, failed, or refunded

Payments are matched by the customer's email address, so the contact's email in Deskwoot must match the email on file in Stripe for data to appear. When several Stripe customers share that email, Deskwoot shows the most recent one.

Agents who may issue refunds (administrators, and on Enterprise members whose custom role allows it) see a Refund button next to a successful payment. It refunds the payment in full after a confirmation, and the refund is recorded in your Deskwoot audit log.

Subscriptions and Invoices

For customers with Stripe subscriptions, the Details tab displays the plan name, the price and billing interval, the current status and the renewal, end or trial end date. The customer's last 5 invoices are listed with their status, amount and a link to the Stripe invoice page, together with the customer balance (a credit for the next invoices or an amount owed). Agents who may cancel see Cancel next to an active subscription: it ends at the close of the current billing period, so the customer keeps what they paid for.

Refund Visibility

Refunds are flagged in the payment history: a fully refunded payment shows the status Refunded, so agents can answer billing inquiries without logging into Stripe. Disputes (chargebacks) are not shown in Deskwoot; they stay in your Stripe dashboard.

Troubleshooting

  • No payment data showing: Verify that the customer's email address in Deskwoot matches exactly with the email associated with their Stripe account. Even minor differences (such as uppercase vs. lowercase) can prevent a match.
  • Key refused: Paste the restricted key Stripe showed after the install (it starts with rk_live_ or rk_test_), not the publishable key (pk_). If the Details tab says Stripe refused the connected key, the key may be revoked, expired or missing a permission; check the Stripe connection under Settings > Integrations.
  • Stale data: Payment information is read live from Stripe whenever a conversation opens. If data looks outdated, reload the conversation.

Best Practices

  • Ensure your team uses consistent customer email addresses across Deskwoot and Stripe for reliable data matching.
  • Use the payment sidebar to verify transactions before responding to billing inquiries. This reduces back-and-forth and builds customer trust.
  • Full refunds and cancellations at the end of the billing period work from the Details tab. Partial refunds and plan changes still happen in your Stripe dashboard.

Frequently asked questions

Can Deskwoot create charges or process refunds through Stripe?
Deskwoot does not create charges. Agents with the right permissions can refund a payment in full and cancel a subscription at the end of the billing period from the Details tab. Both actions are recorded in your Deskwoot audit log. Everything else (partial refunds, plan changes, disputes) stays in Stripe.
What happens if a customer has multiple Stripe accounts with different emails?
Deskwoot looks up the Stripe customer by the contact's email address. If a customer uses a different email in Stripe, that payment data does not appear in the conversation.
Can I disconnect the Stripe integration?
Yes. Go to Settings > Integrations, click Manage on Stripe and click Disconnect. Payment data will no longer appear in the conversation sidebar once the integration is removed.
How do I connect Stripe?
Settings → Integrations → Stripe → Install on Stripe Marketplace, then Install on the Deskwoot listing and confirm the permissions. Paste the restricted key Stripe shows into Deskwoot and click Connect. The key reads customers, products and invoices and can read and write subscriptions, charges and refunds; the write access is only used for refunds and cancellations.
Can I connect a Stripe test mode account?
Yes. A restricted key from test mode starts with rk_test_ and connects the same way. Deskwoot does not label test data separately.
How is the customer matched in Stripe?
By email. Deskwoot looks up the conversation contact's email among your Stripe customers. If several Stripe customers share that email, the most recent one is shown.
What if the customer has multiple Stripe customers (e.g. duplicate signups)?
Deskwoot shows the most recent Stripe customer with that email. Older duplicates with the same email do not appear in the conversation.
Can the bot issue a refund without an agent's approval?
Yes, if you allow it. In Settings → Bots, under Actions the bot is allowed to take, switch on Issue refunds (off by default). Open detailed configuration sets limits such as a maximum refund amount, caps per customer and per day, and a cooldown between refunds. The bot only refunds after the customer is verified and types a confirmation; otherwise it hands the conversation to a human.
Is there a refund policy enforced?
You can write your refund policy in the detailed bot action settings (Settings → Bots → Open detailed configuration), for example 'full refund within 30 days, otherwise contact support'. The bot follows it together with the hard limits set there. The audit log records every refund regardless.
Does the integration show invoices?
Yes. The customer's last 5 invoices appear with status, amount and a link to the Stripe invoice page. A failed payment shows the status Failed in the payment list.
Can I connect multiple Stripe accounts?
No. Each Deskwoot workspace connects one Stripe account, the one you install the Deskwoot app on.
What about Stripe Tax / VAT details?
Deskwoot does not show tax IDs or tax details. Check those in your Stripe dashboard.
Does it work for one-off charges as well as subscriptions?
Yes. One-off charges and subscription payments appear in the same payments list (the last 10, newest first), and a refunded payment shows Refunded.
What does the bot do with chargebacks?
Nothing. Deskwoot does not show disputes (chargebacks), and neither agents nor the bot act on them in Deskwoot. They stay in your Stripe dashboard.
