An inbox is one source of customer messages. Examples: a support email address, a website live chat widget, a WhatsApp Business number, a Telegram bot. Setting up your first inbox takes 2-3 minutes: pick the channel, paste credentials or a forwarding address, and you're done. On Startup and above you can add as many inboxes as you want; on the Hacker plan, live chat and email forwarding inboxes are unlimited, plus 1 inbox of any other channel type.

An inbox in Deskwoot represents a communication channel. It could be a website live chat widget, an email address, a WhatsApp number, or any other supported channel. You need at least one inbox to start receiving conversations. This guide walks you through creating your first inbox, assigning agents, and avoiding common setup mistakes so you can begin helping customers right away.

Creating a website chat inbox

  1. Navigate to Settings > Inboxes and click Add Inbox.
  2. Select Live Chat as the channel, then Website Live Chat.
  3. Click Create Inbox. The new inbox opens with the name Website Live Chat, which you can change in its Settings tab.
  4. Customize the widget appearance under Widget Appearance in the same tab. You can set the brand color, welcome message, and widget position to match your site's look and feel.
  5. Under Widget Installation, Deskwoot shows the JavaScript snippet for your site.
  6. Copy the snippet and paste it into your website's HTML, just before the closing </body> tag. If you use a tag manager, you can add it there instead.

Once the snippet is live, the chat widget will appear on your site and any visitor message will create a new conversation in Deskwoot.

Creating an email inbox

  1. Click Add Inbox and select Email as the channel type.
  2. Choose your connection method: connect via IMAP/SMTP with your email provider credentials (Startup plan and above), or use email forwarding to route messages to Deskwoot (every plan).
  3. If using IMAP, enter your IMAP server details, port, and credentials. For SMTP, provide the outgoing server information as well.
  4. Click Create Inbox. With forwarding, Deskwoot shows your forwarding address; forward your mail to it. With IMAP, Deskwoot picks up new messages automatically. Either way, incoming emails become conversations.

Next steps

Once your inbox is created, add agents to it so auto assignment hands them its conversations. You can manage inbox agents in the inbox's Collaborators tab. Consider creating separate inboxes for different teams or departments. For example, Sales Chat and Support Email. To keep conversations organized.

Troubleshooting & common pitfalls

  • Widget not showing: Verify the JavaScript snippet is placed correctly and that browser extensions (such as ad blockers) are not hiding it. Hard-refresh the page or test in an incognito window.
  • Email not syncing: Double-check your IMAP/SMTP credentials, server address, and port. Some providers require you to enable access for third-party apps or generate an app-specific password.
  • No agents assigned: While no agents are added to an inbox, round robin hands its conversations to every agent in the workspace. Add agents in the Collaborators tab if only some of them should get this inbox's conversations.

Best-practice tips

  • Use clear, recognizable inbox names so agents can quickly identify the channel source.
  • Write a friendly welcome message for your website widget. It sets the tone for every customer interaction.
  • Test each new inbox by sending yourself a message before going live to confirm everything works end to end.

Frequently asked questions

How many inboxes can I create?
On Startup and above there is no limit, so feel free to add as many as your workflow requires. On the Hacker plan, live chat and email forwarding inboxes are unlimited, plus 1 inbox of any other channel type.
Can I change the widget appearance after setup?
Yes. Go to Settings > Inboxes, select the inbox, and update the brand color, welcome message, or widget position at any time.
Do I need to re-embed the snippet if I update inbox settings?
No. Configuration changes are applied server-side and will reflect automatically on your website without modifying the embedded JavaScript snippet.
Which channel should I set up first?
Whichever channel your customers already use most. If you're starting from scratch, the live chat widget is the fastest: copy a one-line snippet onto your site and you're live.
What's the difference between email forwarding and IMAP/SMTP?
Forwarding gives you a Deskwoot forwarding address: you forward your mail to it, and replies go out from that address with your sender name. Simple to set up, works on every plan. IMAP/SMTP connects directly to your own mailserver and lets you send replies from your own address, available on Startup and above.
Can I have multiple email inboxes?
Yes. Most teams have separate inboxes for support@, sales@, billing@, etc. Each one has its own settings, agents, business hours and sender name.
How do I customize the chat widget?
Settings → Inboxes → Configure on your live chat inbox. The Settings tab holds Widget Appearance (brand color, position, welcome texts) and the widget features; the Pre Chat Form tab holds the pre-chat form (Startup and up). Changes apply to your live site within seconds, no re-embed needed.
Do I need a verified domain for the email channel?
Only if you want outbound emails to come from your domain. Forwarding mode works without verification because we send via our managed mailbox. IMAP/SMTP requires the credentials of your own server.
Can I delete an inbox later?
Yes, with Delete Inbox under Danger Zone in the inbox's Settings tab. Deleting removes the inbox for good and disconnects the channel. Its conversations are not deleted.
What happens to a conversation when its inbox is deleted?
They are not deleted: the conversations and their history stay in Deskwoot. Because the channel is disconnected, you can no longer reply through it.
Can different agents have access to different inboxes?
Not per inbox. The agents you add in an inbox's Collaborators tab decide who gets its conversations by auto assignment. What an agent sees depends on their role: administrators see every conversation, agents see the ones assigned to them, unassigned ones, ones transferred to them and ones they are mentioned in. On Enterprise, a custom role can restrict an agent to conversations assigned to them.
How fast does a new inbox receive its first message?
Live chat widget: immediate after embed. Email: as soon as a message hits the forwarding address; with IMAP, usually within seconds thanks to an IDLE connection (plus a check every 5 minutes). WhatsApp / Telegram: after webhook verification, typically under 5 minutes.
Can I test an inbox before going live?
Yes. For email: send a test from your own address to the forwarding address. For live chat: open your site in incognito mode and start a chat. The message appears in your dashboard within seconds.
Does each inbox count separately toward my conversation quota?
No. Quotas are per-account, not per-inbox. You can split your team across as many inboxes as you want without inflating the conversation count.
