Connect Propstack
On this page
Connect your Propstack account, and Fynn answers questions about your marketed listings in the chat: price, costs, size, features and whether a listing is still available. After the person says yes, he sends inquiries, search profiles and seller leads into Propstack, and your team sees the Propstack contact next to each conversation. Propstack is in beta, on the Business and Enterprise plans, and a 7 day trial of either plan includes it.
You need a Propstack admin, who can create API keys, and the permission to manage integrations in Deskwoot; administrators have it. Each workspace connects one Propstack account.
Create the API key in Propstack
Check with Propstack first. Propstack's own help says each Propstack account can have only one API key. If that applies to your account, a new key can replace the one your website or another tool already uses. Ask Propstack before you create one.
- In Propstack, open Verwaltung > API-Schlüssel.
- Create a key for API V2 and name it Deskwoot.
- Give it these permissions. Required: read listings, listing statuses and projects; read and create contacts; create notes; read contact sources, note types and users; manage webhooks. Optional: read and create search profiles; read contact statuses, appointment types and appointments.
- Copy the key.
Propstack shows the requests of each key in its log. You can delete the key in Propstack at any time, and Deskwoot then stops.
Connect Propstack in Deskwoot
- Go to Settings > Integrations and click the Propstack card under CRM and real estate.
- Click Connect Propstack, paste the key under API key and click Connect.
Deskwoot checks the key with Propstack right away. If a required permission is missing, the dialog names it and nothing is stored. If the key reaches several Propstack accounts, for example the offices of a franchise, you choose the one this workspace uses. Deskwoot stores the key encrypted and shows only its last 4 characters. Then it reads your marketed listings, which takes a few minutes.
Choose what Fynn says about each status
The Listing statuses card lists your Propstack statuses. For each one, choose Fynn offers it, Fynn says it is no longer available or Fynn never mentions it, then click Save statuses. A status Propstack marks as not public starts as no longer available. Archived listings never come up. When Propstack gets a new status, the card marks it New until you save.
Choose where inquiries land
The Where inquiries land card decides how a request arrives in Propstack:
- Inquiry source: the contact source the request carries. Choose the source your Propstack automation for new inquiries listens to, for example a source named Deskwoot. With No source, no automation runs.
- Note type: the type of the note. Note types that change a listing's status or a deal are not offered, and a type that also sets the contact's status says so.
- Agent for inquiries without a listing: seller leads and search profiles go to this user. An inquiry about a listing goes to the listing's agent.
Click Save. While Propstack cannot be reached, the card shows the choices you saved, and you can still change them.
Choose what Fynn does
Fynn uses Propstack only after an administrator clicked Save on What Fynn does with Propstack once. After that, each switch saves at once:
- Answer from your listings: Fynn searches your listings and quotes prices, sizes and availability exactly as published.
- Share the listing page link, off by default: Fynn sends the public listing page from Propstack. Off, he offers the exposé instead, so the inquiry reaches Propstack first.
- Send inquiries to Propstack: after the person confirms, Fynn creates the contact if needed and adds the inquiry note.
- Send seller leads to Propstack: owners who want to sell or have their property valued become a seller lead once they confirm.
- Create search profiles: after the person agrees to offers by email, Fynn creates a search profile with what they look for. The key needs the permission to create search profiles.
- Tell people their upcoming appointments: only after the person proved their email address or phone number, and only where Propstack lets the key read appointments.
Under Inboxes you choose whether Fynn uses Propstack in all inboxes or only in some. With a switch off, Fynn hands those details to your team instead.
What Fynn does in the chat
- He answers in the customer's language and quotes prices, costs, commission and deposit exactly as published. He never calculates, estimates or rounds a cost.
- When Deskwoot could not update your listings for 6 hours, he no longer says a listing is still available: he says your team confirms it.
- He gives the street only when you show the address in Propstack. Otherwise he names the town and district and says the agent shares the address.
- For a viewing, the exposé or a question, he asks for the person's name, and for an email address or phone number when the conversation has none. He shows what he will send and sends it only after their yes. The person then reads that your team gets back to them.
- He never books or moves a viewing in Propstack, never reserves a property, never sends an exposé or a document himself and never names a value.
- He treats every inquiry the same way: he never rates or ranks applicants, buyers or tenants. In a workspace set up for real estate, his rules also keep him from describing, ranking or recommending areas or properties by race, color, religion, sex, disability, familial status or national origin, and from steering anyone toward or away from an area for such reasons.
- He never asks for a date of birth, an ID, income or bank details.
- On SMS he never tells anyone their appointments, because a text message proves nothing about the sender.
- To customers he never names Propstack. He speaks of your team.
What your team sees
In a conversation, the Details tab has two sections for Propstack:
- Property: the listing the conversation is about, with photo, title, number, status, price, rooms, area, agent and who linked it. Fynn links a listing when he looked up exactly one. Your team uses Link a property, Change property and Unlink, and Send to Propstack sends an inquiry about it.
- Propstack: the person's Propstack contact with status, customer number and agent, up to 3 search profiles and, where Propstack lets the key read appointments, the upcoming ones, never your notes. From there your team sends an inquiry, a search profile, a seller lead or a note, and finds, creates, links or unlinks the contact.
The section shows how the contact was linked: by a teammate, by the address the customer wrote from, after the customer verified their email address or phone number, or, marked as not verified, by an email given in the chat. For such a match your team chooses Keep link or Change contact.
Each request shows as a card in the conversation's thread, with its state. The contact page has a Connected systems tab with the same Propstack section and everything Deskwoot sent for the contact. Copilot knows the linked contact, its search profiles, its appointments where the key may read them, and the listings of the conversation, so Suggest a reply can answer "Is the flat still available?" from the same data Fynn uses.
What reaches Propstack
- A contact, only when no Propstack contact has the person's email address or phone number. An existing contact is never changed: the request goes to it as a note. When several contacts match, Deskwoot sends nothing and asks your team to link the right one first.
- A note with the request: what the person wants, the listing, preferred times, their message, whether the sender was verified and a link to the conversation, which only your team can open. It carries the source, note type and agent of Where inquiries land.
- A search profile, only after the person agreed to receive matching offers by email. It records that consent with its time.
A note with a contact source can start your Propstack automations, as a portal inquiry does. When Propstack did not answer in time, Deskwoot never simply sends the request again: it first looks for the request in Propstack. If Propstack does not let it look, your team decides whether to send it again.
How listings reach Deskwoot
Deskwoot reads your listings when you connect, checks Propstack for changes every 15 minutes and reads everything again once a day. Where Propstack reports changes to Deskwoot, the page says Listing changes arrive within seconds. Sync now reads them at once, and the Listings Fynn knows card shows exactly what Fynn sees.
When the connection needs you
- Key refused: Propstack no longer accepts the key, for example because it was deleted or changed. Fynn stops using Propstack. Paste a new key with Replace key.
- Missing permission: the key lost a permission Deskwoot needs. Add it to the key in Propstack, then click Check again.
- Out of date: Deskwoot could not update your listings for a while. Until it can, Fynn does not confirm whether a listing is still available.
Administrators get an email when the connection breaks.
Disconnect
Disconnect on the Propstack page stops Fynn answering about listings and sending inquiries. Deskwoot deletes the key, its copy of your listings and the links to Propstack contacts, and removes its webhooks in Propstack. Everything already sent stays in Propstack and in the conversations. Then delete the key in Propstack under Verwaltung > API-Schlüssel.
Frequently asked questions
Which plan do I need?
Business or Enterprise. A 7 day trial of either plan includes Propstack. Deskwoot charges nothing extra for the connection.
What does beta mean here?
The connection to Propstack is new and built on Propstack's API docs, so details can still change. If something does not work the way you expect, write to hello@deskwoot.com.
What does Deskwoot never read?
A contact's income, bank details, ID, date of birth or tax number, and the agency's warnings, notes, documents, deals, owners, valuations and internal commissions.
Does Fynn book viewings in Propstack?
No. He sends the viewing request with the preferred times, and your agent agrees the time. Where Propstack lets the key read appointments, a verified customer can ask Fynn about the ones already in Propstack.
Should portal inquiries also come into Deskwoot?
Keep them in Propstack. Portal inquiries already land there, where your automations answer them, and a copy in Deskwoot would make your team handle each one twice.
