Everyone who can open Reports can arrange their own board and keep it as a view. Click Arrange next to Export, move the blocks where you want them, add what you miss and remove what you never read. A view keeps the arrangement together with the period and the filters. Administrators can share a view with everyone who sees Reports and pick the view the whole workspace opens with. Nothing you arrange changes anyone else's board unless an administrator publishes it.

Start arranging

  • Click Arrange at the top of Reports. On a phone it sits in More actions.
  • Or open a block's menu and pick Customize block: Arrange opens with that block's settings.

A bar appears over the board with Undo, Redo, Add a block, Reset to default, Discard and the button that saves. The filters keep working while you arrange, so you see real numbers in every block.

Move blocks

  • Mouse: drag a block by the grip next to its title.
  • Touch: press the grip for a moment, then drag.
  • Keyboard: focus the grip and press Space or Enter to pick the block up. Move it with the arrow keys, then press Space or Enter to drop it, or Escape to cancel. Alt with the up or down arrow moves a block one place.
  • Menu: a right click on the grip, the context menu key or Shift+F10 opens Move to top, Move up, Move down and Move to bottom.

On a narrow screen the board turns into a list of rows without dragging. Tap a grip to move its block through the same menu.

Width and settings

  • Width: Quarter, Half, Three quarters or Full width, as far as the block allows. The menu says what happens next to it, for example that the next block moves to the next row.
  • Settings change how a block shows its numbers. Depending on the block you find Title, Statistic (Average, Median, 90th percentile), Show as, Split by, Measure, Rows, Longer than, Goal, Use the SLA target, Group by, SLA target and Columns. Reset this block puts its settings back.
  • The filters stay at the top of the page and apply to every block except Article feedback, which counts votes on help center articles. A block has no filters of its own.

Headings and notes

  • A heading asks one of the board's questions, such as Are we fast enough?, with its answer line. Switch Answer line off to show the question alone, or write your own heading of up to 80 characters.
  • A note holds up to 500 characters of plain text for your team. It shows who changed it last and when. A note you leave empty is not saved.

Add a block

  1. Click Add a block in the bar (on a smaller screen just its + button), or Add a block here between two rows.
  2. Browse the groups How fast?, What comes in?, What piles up?, How do customers feel?, Who does the work? and Structure, or search for a word like wait or SLA.
  3. Open a row to see a preview with your filters. Click Add block, or drag the row onto the board where you want it.

A block that is already there says On the board. A board holds up to 30 blocks and 10 headings and notes, splits by up to 6 things such as channel or team, and keeps at most 2 slow blocks. The picker says so when you reach a limit. Administrators on a plan without SLA see the SLA blocks marked Enterprise.

Remove, undo and start over

  • Remove a block with the × in its head. It goes at once, and Undo stays on screen for 10 seconds.
  • Undo and Redo in the bar go back and forth through your last 50 steps.
  • Reset to default puts back the arrangement of the view that is the default for everyone, or the board Deskwoot starts with when there is none.
  • Discard ends Arrange without saving. When you changed something, it asks first.

An arrangement you did not save survives a reload in the same browser tab. Arrange opens with it again and says Unsaved arrangement restored. If Reports opens another view instead, a line says You have an arrangement you did not save. with Keep arranging and Discard.

Save your arrangement

The save button fits the view you are arranging:

  • The board Deskwoot starts with (Overview or My day): Done keeps it as your own view My reports with the filters you see. It opens first from now on.
  • Your own view: Done saves its arrangement. Save changed filters from the views menu.
  • A shared view, as an administrator: Publish asks you to confirm, then everyone who opens the view sees your arrangement. The arrow next to it offers Save as my view instead.
  • A shared view, as a member: Save as my view keeps a copy named after the view with "(mine)" at the end. Open this view first is ticked, untick it if you want.

If nothing changed, Done just closes Arrange. If someone else saved the same view while you were arranging, Reports tells you and offers Reload or Save as a new view, so nobody's work gets overwritten.

The views menu

Click the view name next to the Reports title. The menu lists the views Shared with everyone, the ones that are Yours and the board Deskwoot starts with. Each saved view shows a line about its filters. Default for everyone. and Opens first. at the start of that line mark the two special views. A dot next to the name means you changed the filters since the view was saved.

  • Save changes to the view saves the filters you see now. You get it for your own views, administrators also for shared ones.
  • Save as my view appears for members who changed the filters of a shared view.
  • Save as a new view keeps the filters and the arrangement under a new name of up to 80 characters. Administrators can tick Share with everyone who sees reports right away.
  • Duplicate copies the view that is open. Rename and Delete are there for your own views, and for administrators also for shared ones. Deleting a shared view deletes it for everyone. The reports themselves stay as they are.
  • Open this view first makes one of your own views your start view on Reports. Stop opening this view first undoes it.
  • Share with everyone and Stop sharing are for administrators.
  • Default for everyone (administrators, shared views only) picks the view the workspace opens with.
  • Copy link copies the address of the view, and it keeps your filters.

Start from a template

Under Start a view from, pick Overview, Team lead, Tickets (while tickets are switched on), My day, Customer voice or Empty. The board you start with is not listed there again. Arrange opens with that layout, ready to adjust. Done keeps it as your own view under the template's name, with the filters you see. Discard leaves nothing behind.

Which view opens

Reports opens your start view if you picked one, otherwise the view that is the default for everyone, otherwise the board Deskwoot starts with: Overview for administrators, My day for everyone else. That board always stays in the views menu, so a default never locks anyone out of it.

What members can do

  • Arrange their board and keep their own views, up to 100 per person.
  • Open every shared view. It still counts only their own conversations, and blocks only administrators see stay hidden with a note such as 1 block in this view is only for administrators.
  • Not share a view, publish changes to a shared view or pick the default for everyone. Their changes to a shared view become a copy of their own.

During support access you can arrange, but saving is not possible.

Frequently asked questions

Does arranging change the board for my team?

No. Your arrangement stays yours until you save it as your view. Only an administrator who publishes a shared view changes what others see in that view.

Can I share a view with one team only?

No. A shared view goes to everyone who sees Reports, and each person sees it with their own access.

Why can't I share my view?

Only administrators share views and set the default for everyone. As a member, keep your view for yourself or ask an administrator to share a copy.

Why are blocks missing when I open a shared view?

Some blocks are only for administrators, such as the Agents and Teams tables. Members see the rest of the view and a note that says how many blocks are hidden.

Does a view keep its period and filters?

Yes. A view keeps the period, the comparison, the type, the hours and the filters together with its arrangement. Change the filters and use Save changes to the view to keep them.

How do I get back to the original board?

Pick Overview or My day in the views menu. While arranging, Reset to default puts back the default arrangement.

Why can't I add a block?

Either it is on the board already, or the board reached a limit: 30 blocks, 10 headings and notes, 6 things to split by, or 2 slow blocks. Remove one first.

How many views can I keep?

Up to 100 per person, your own views and the views you shared together.
